CaseChaser ("we", "us") helps individuals in the UK track communication with their solicitor. This policy explains what personal data we collect and how we use it. We comply with the UK GDPR and Data Protection Act 2018.

1. Data we collect

  • Account data: email address, password (hashed), authentication tokens.
  • Case data you enter: case type, solicitor name, contact dates, notes and any documents you upload.
  • Payment data: handled by Stripe. We store a transaction reference only — never your card details.
  • Technical data: basic device, browser and usage logs to keep the service secure.

2. How we use it

  • To provide the service (tracking, chasers, deadlines, checklists).
  • To process your unlock payment via Stripe.
  • To keep accounts secure and prevent abuse.
  • To respond to support requests.

3. Legal basis

We process your data to perform the contract you have with us, to comply with legal obligations, and on the basis of our legitimate interest in operating a secure service. Cookie-based analytics and advertising tracking is processed on the basis of your consent, given via the cookie banner.

4. Sharing

We share data only with the processors needed to run CaseChaser: our hosting and database provider, Stripe for payments, Brevo for marketing emails, and Resend for transactional emails. We do not sell your data.

5. International transfers

Some of our service providers (including Stripe, Resend, Brevo, Anthropic, Google and Meta) are based outside the UK, and data may be processed outside the UK under appropriate safeguards.

6. Retention

We keep your case data for as long as your account is active. You can archive or delete cases at any time. Payment records are kept for 6 years to meet UK accounting requirements.

7. Your rights

You have the right to access, correct, delete or export your data, and to complain to the ICO (ico.org.uk). Contact us at hello@casechaser.co.uk or by post at CASECHASER, 66 Paul Street, London, EC2A 4NA.

8. Email account integration (Gmail and Outlook)

If you choose to connect your Gmail or Outlook account, we request read-only access solely to detect incoming emails from your solicitor and automatically log them to your case. We never send, modify or delete your emails. Your email credentials are encrypted and stored securely. You can revoke this access and disconnect your email account at any time from within the app.

9. AI chase email generation

When you use the chase-email generator, the case details you provide are sent to Anthropic's API to produce a draft message. Anthropic does not retain your data beyond the duration of the request and does not use it to train models.

10. Document uploads

Files you upload to the document tracker are stored securely and are accessible only by you while you are logged into your account. We do not share uploaded documents with third parties.

11. Cookies and tracking

We use Google Analytics (GA4) and Meta Pixel for analytics and advertising measurement. These cookies are not set until you accept our cookie banner. You can change your choice at any time via the "Cookie Settings" link in the footer. Rejecting means no analytics or advertising cookies are set.

12. Email reminders

We may send you reminder emails about case deadlines or chaser schedules. You can opt out of these emails at any time from your account settings or by using the unsubscribe link in any reminder email.
